The type of personal information we collect
We currently collect and process the following information:
- Personal identifiers including first name, last name and job title
- Contact data including billing address, delivery address, email address and telephone numbers
- Financial information including bank account and payment card details
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- To liaise with the named contract to discuss, design and agree a proposal and/or contract
- To liaise with the named contact to manage and deliver an agreed contract
- To liaise with the named contact to share workshop details as well as any follow-up support materials (ie workshop slides)
- To contact the named contact with information on any agreed reminders or renewals (ie mental health first aid refresher programmes)
- To manage the payment of services including consultancy, training and coaching support
We also receive personal information indirectly, from the following sources in the following scenarios:
- On occasions, we may be passed personal information through an existing relationship (ie advisor, consultant or trainer) of the named contact. In this situation, permission will be sort by the named contact prior to sharing with us
- If we are informed or if it is identified that permission has not been given, we will take immediate steps to delete all personal data records
We may share this information with contracted trainers and consultants who are acting on behalf of AE Consultancy and Training Limited or KW Consultancy and Training Limited t/a The Leading Well Team.
Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:
(a) We have a contractual obligation.
(b) We have a legitimate interest.
How we store your personal information
Your information is securely stored.
We keep personal identifiers, contact data and financial information for a maximum period of 6 months after the purpose of the personal data is unfulfilled. We will then dispose your information through either shredding paper records or deleting digital data from all computer and/electronic devices (including any backups or background storage).
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
